How do Membership credits work?

This article explains how membership credits are allocated and how they are used.

Memberships can include credits that members can use to book classes, lessons, or rentals at no additional cost.

Credit Allocation

When a membership includes credits, members receive the full credit allocation for each calendar period.

Credits are tied to the calendar period configured on the membership (daily, weekly, etc.) and are not based on the member's sign-up date or billing date.

Credits cannot be pro-rated and any unused credits do not rollover to the next calendar period,

  • Membership: 8 credits per month

  • Member joins on April 15 → has access to an allotment of 8 credits for April, 8 credits for June, 8 credits for July etc.

Credits are calendar-based, so everyone gets equal access regardless of signup date.

How credits work

Credits are deducted (redeemed) based on the date of the booking (the scheduled session date), not when the booking is made. This means future bookings use credits from the month they occur in.

In a calendar month, if there are any bookings that have been made with credits, then the credits are considered to have been deducted from that month's allocation of credits.

Example:

  • Membership: 8 credits that renews monthly

  • A customer signs up on March 28

  • They immediately book multiple sessions:

Bookings made:

  • 2 sessions that occur in March

  • 4 sessions that occur in April

  • 1 session that occur in November

Credit breakdown:

  • March credits: 2 used → 6 remaining for March

  • April credits: 4 used → 4 remaining for April

  • November credits: 1 used → 7 remaining for November

Credit Rollover

  • Credits do not roll over

  • If there are any unused credits in a calendar period, it will not rollover into the next credit cycle

Why: Ensures fair access for all members and prevents early access based on signup date

Credit Usage

Facilities can tweak credit rules to fit their program:

Option

How it Works

Weekly-renewing credits

Even with monthly billing, credits refresh weekly to spread usage

Time slot restrictions

Limit how far out members can book to control credit allocation

Adding Extra Credits (Manual Adjustment)

Step-by-Step:

  1. Create a $0 package with the desired credit type

  2. Make the package private

  3. Assign the package to the member under the Packages tab

  4. You can Add or Redeem credits from a customer's package as needed

Use Cases:

  • Add missed credits

  • Offer goodwill credits

  • Adjust credit balance without changing membership

Example Scenario

Let’s walk through a real example to show how everything works together.

Membership details:

  • 8 credits, renews monthly

  • Limit credit usage: 2 credits per week

  • Applies to Rentals

  • Minimum duration of 30 minutes

Member joins: February 26th
They immediately receive 8 February credits, and will also have access to the following allotments:

  • 8 credits in March

  • 8 credits in April

  • And so on

Six bookings are made at one on February 20 where the bookings occur on:

  • 3 bookings on February 22

  • 1 booking on March 3

  • 1 booking on April 22

  • 1 booking on May 1

How credits are applied:

  • February 22 bookings:

    • Only 2 credits allowed (weekly limit)

    • The customer will be prompted to pay for the 3rd booking even if they have credits available because they've already reached the 2 credit limit per week

  • March 3 booking:

    • Deducts from March credits (1)

  • April 22 booking:

    • Deducts from April credits (1)

  • May 1 booking:

    • Deducts from May credits (1)

Key takeaway:
Credits are always considered used or redeemed based on the date the booking occurs, while also respecting any credit usage limits.
