# Email Blasts

Learn how to create and send email blasts in Swift

Swift allows you to create and send email blasts directly from your Admin Dashboard. You can customize your emails, choose which customers to contact, and track delivery and engagement through email analytics.

Whether you're promoting a new program, announcing a facility closure, or sharing an update with your customers, Email Blasts make it easy to communicate with your audience.

There's no limit to how many email blasts you can send out! 🎉

> **Warning:** Email Blasts are either a paid add-on or included in your Swift subscription, depending on the plan type you've selected. If you do not have access to this page, please [reach out to the Support team](mailto:support@runswiftapp.com) to add it to your plan.
>

You can access Email Blasts by navigating to [Marketing > Email Blasts](https://admin.runswiftapp.com/marketing/blasts) in your Swift Admin Dashboard. If you don't see this page, you may not have access to the Email Blasts feature or the necessary permissions.

## **When to Use Email Blasts**

Email Blasts are useful whenever you need to communicate with your customers. Here are a few examples:

- Promoting a new camp, clinic, class, or program.

- Announcing a temporary facility closure, such as a snow day.

- Introducing a new instructor or trainer.

- Sharing important updates or announcements with your customers.

## **View All Email Blasts**

To view your existing email blasts, navigate to **Marketing > Email Blasts** in your Swift Admin Dashboard.

You'll see a list of previously created email blasts and their associated analytics. If you haven't created an email blast yet, you'll see a prompt to create your first one.

## **Email Analytics**

Each email blast includes metrics to help you understand how your emails are performing. For every sent email, you should see:

- **Sent**: The number of recipients the email was sent to.

- **Delivered**: The number of emails successfully delivered to recipients. This may be lower than the number sent if emails bounce or are blocked by the recipient's email provider.

- **Opened**: The number of times the email blast has been opened.

- **Open Rate**: The percentage of emails that were opened relative to the number of emails sent. Benchmarks for open rates are typically around 35 - 40%. Anything above 40% is great!

You can also select an individual email blast to view recipient-level details, including whether specific customers have opened the email.

Keep in mind that open rates are estimates and can vary depending on how email providers track opens. Use them as a general indicator of engagement rather than an exact measure.

## **Transactional vs Marketing Emails**

The most important decision to make before creating your email blast is determining the _type_ of messaging you're about to send.

They are:

1. **Transactional Emails**: Use transactional emails to communicate important service-related information, such as cancellations, rescheduled sessions, or changes to facility hours. **Do not use transactional emails for promotional content.**

2. **Marketing Emails**: Marketing emails are for opportunities to _grow_ and _promote_ your business - like promoting new camps, clinics, a new coach, etc. They are updates that your clients _will be able to opt out_ of.

> **Info:** Selecting the correct email type helps you follow applicable anti-spam requirements and maintain good email deliverability.

## **To Field**

You can use the "To" field to choose who to send emails to. For transactional emails, you'll be able to send an email to _all your customers_ or just a subset.

For marketing emails, you can **only send an email to clients that have opted in to your marketing list**.

## **Previewing & Testing Email Blasts**

As you fill out the email subject and body, you'll be able to see a live preview of the email on the right. Use this live preview to inform the design & look of your email. Once you're ready, you can click "Send test email" to send a sample email to your inbox.

## **Opt-in and Opt-out of Marketing**

Whenever a customer creates an account at your facility, they will be asked if they'd like to opt-in to your marketing list. They'll be asked this once during account creation, and their response will be saved going forward (they won't be prompted every time).

For existing clients that have been using Swift prior to the launch of the email blasts feature (December 2023), they will be asked to opt-in on their next booking or purchase at your facility.

## **Opt Customers In Manually to Marketing**

To add a customer to the marketing list manually, visit their customer profile on the [Customers page](https://admin.runswiftapp.com/customers).

Then, on the Marketing tab, you can turn the "Opt-In" toggle to manually add them to your marketing list. Be sure to get their permission first, as not doing so is in violation of spam laws.

## **Bulk Opt-In**

We often get the question whether facility owners can mass/bulk opt-in their clients into their marketing list. The answer is: _it depends on your location_.

For American businesses, bulk opting customers into marketing is actually a valid action - so if you'd like this for your facility, [please reach out us](mailto:support@runswiftapp.com), and we'll make this happen for you.

For Canadian businesses, doing this is a violation of Canadian spam laws, and it isn't possible unfortunately. You can prompt your customers in-person to opt-in, and try to maximize coverage in that way.

## **Unsubscribes & Opt-Out**

When sending a marketing email blast, Swift will generate a unique unsubscribe link for each customer, and _automatically_ insert it into the email blast. This is a requirement of the law, and will help prevent your marketing blasts from being flagged as spam.

Customers will be able to click on that link, and opt-out of marketing emails from your facility if they'd like. They can also do this from their own profile, under the Marketing tab.
